When a CSV is the right export

CSV is the lowest common denominator of financial data. Every bookkeeping package, from QuickBooks Online to Xero, Wave, FreeAgent, Zoho Books, FreshBooks and Sage, has a CSV import, and every spreadsheet opens it. If your software does not accept QBO or OFX, or you want full control over the data before it goes in, CSV is the format to pick.

The catch with CSV is that there is no standard. One package wants Date, Description, Amount. Another wants separate Debit and Credit columns. A third needs the date as DD/MM/YYYY. Our converter writes the CSV with all the columns most importers ask for, lets you choose the date style, and offers variants for QuickBooks Online and Xero so you do not have to rearrange columns yourself.

The columns in the CSV

ColumnContentExample
DatePosted date in your chosen style2026-03-14 or 03/14/2026 or 14/03/2026

DebitMoney out as a positive number42.18
CreditMoney in as a positive number1250.00

Choose QuickBooks CSV for the three-column layout (Date, Description, Amount) used by the QuickBooks Online CSV upload, or Xero CSV for the Xero statement template.

How to convert

  1. Upload the PDF in the converter above.
  2. Review the table and the balance banner. Edit rows if needed.
  3. Select CSV, QuickBooks CSV or Xero CSV and choose a date format.
  4. Download, then use the import function of your accounting software. Map the columns if it asks.

Date format problems and how to avoid them

Dates cause more failed CSV imports than anything else. A statement that says 03/04/2026 is 3 April in the UK, Australia and Canada (usually) and 4 March in the US. We read the date order from the statement itself: if any date has a first number above 12 the order is day first, if any has a second number above 12 it is month first, and otherwise we use the currency and layout of the statement as a hint. You can override the choice in the fix options, and the preview shows the result before you download.

For the output file, pick the style your importer expects. ISO (2026-03-14) is unambiguous and accepted by many tools. US software generally wants MM/DD/YYYY, UK, Australian and Xero imports want DD/MM/YYYY.

Protection against spreadsheet formula injection

A CSV opened in Excel can run a cell as a formula if it starts with =, +, - or @. A hostile payee name could, in theory, exploit that. Every text cell we write is checked, and cells that would be read as formulas are prefixed with an apostrophe so they stay plain text. Legitimate amounts are not affected, since numbers are written as numbers.

Character encoding and Excel

The generic CSV is written as UTF-8 with a byte order mark so Excel shows accented characters correctly (for example Café, Zürich or £). The QuickBooks and Xero variants are plain UTF-8 without it, which is what those importers expect. Lines end with CRLF, quoted fields follow RFC 4180, and commas inside descriptions are handled by quoting. If you import into a tool that does not expect a byte order mark, remove the first three bytes or open and re-save in a text editor.

Importing the CSV into common software

  • QuickBooks Online: Bank transactions, Upload transactions, choose the CSV and map Date, Description and Amount (or Debit and Credit).
  • Xero: Accounting, Bank accounts, Manage Account, Import a Statement. Use the Xero CSV download for the exact template columns.
  • Wave, FreshBooks, Zoho Books, FreeAgent: each has an Import statement function that accepts the Date, Description and Amount layout.
  • Excel and Google Sheets: open the file or use Import, and set the date column format if needed.

Frequently asked questions

Which CSV layout does QuickBooks Online want?

Three columns (Date, Description, Amount) or four columns with separate Credit and Debit. The QuickBooks CSV download uses the three column version.

How are negative amounts written?

With a minus sign in the Amount column, for example -42.18. The Debit and Credit columns hold positive numbers.

Can I choose the date format?

Yes. Choose MM/DD/YYYY, DD/MM/YYYY or YYYY-MM-DD before downloading, or let it match the statement.

Why does Excel show strange characters?

Open the file with Data, From Text/CSV and choose UTF-8, or just double-click: the generic CSV includes a byte order mark so Excel detects UTF-8 itself.

Does the CSV include the balance?

Yes, when the statement prints a running balance. Untick the balance option if your importer rejects extra columns.

Can I convert a CSV into a QBO file instead?

Yes. See CSV to QBO, which accepts a CSV export and produces a QuickBooks QBO file.
