What a bank statement converter does

A bank statement converter reads the transactions printed in a PDF statement and rebuilds them as structured data: one row per transaction with a date, a description and an amount. That structure is what accounting software needs. QuickBooks, Xero, Quicken, Sage and Excel cannot import a PDF, but they can import a QBO, OFX, QFX or CSV file, and they can all read a spreadsheet.

Statement2QBO is built for the people who do this most: bookkeepers catching up a client who never reconciled, accountants who receive statements as email attachments, and small business owners whose bank only lets them download a PDF. Instead of retyping forty lines per statement, you upload the PDF, look at the table, fix anything that needs fixing and download the file for your software.

How the conversion works, step by step

  1. Upload the PDF. Choose a statement downloaded from online banking, or drag it onto the page. Text-based PDFs are read directly. If the file is a scan, the page offers optional OCR.
  2. Check the preview. Every transaction appears in an editable table. Dates, descriptions and amounts can be changed, rows can be removed or added, and the date order or account type can be switched if the first guess was wrong.
  3. Look at the balance check. The tool adds the opening balance and every transaction and compares the result with the closing balance printed on the statement. When a statement prints a running balance, each row is checked against the previous one. Mismatched rows are highlighted.
  4. Pick a format and download. Choose QBO for QuickBooks, Xero CSV for Xero, Excel or CSV for spreadsheets, OFX or QFX for Quicken and other software, or QIF and Tally XML where those are needed.

Why the balance check matters more than the conversion

Anyone can get text out of a PDF. The expensive mistake is a conversion that looks right but is wrong: a withdrawal imported as a deposit, a date read as 03/04 instead of 04/03, or a line that wrapped onto two rows and lost its amount. Those errors do not announce themselves. They show up weeks later as a reconciliation that is out by an odd number.

That is why every conversion on this site is reconciled before you download. If the opening balance plus the transactions equals the closing balance, you know the amounts and signs are right in total. If not, the banner shows the difference and the rows that do not follow from the running balance, so you find the problem in a minute instead of at month end. When the check fails because the signs came out inverted, the converter tries the flipped version automatically and tells you what it did.

Which format should you export?

You useDownloadNotes
QuickBooks Online or DesktopQBOImport under Banking, Upload transactions. Keep files under 350 KB.
XeroXero CSVMatches the Xero bank statement template columns.
Excel, Google Sheets, NumbersExcel (.xlsx) or CSVThe workbook has a transactions sheet and a summary sheet.
Quicken, Sage, Wave, MYOB, GnuCashOFX, QFX or QIFQFX is the Quicken flavour of OFX.
Tally PrimeTally XMLVoucher import file; test on a copy of the company first.

Each format has its own page with import instructions: PDF to QBO, bank statement to Excel, to CSV, to OFX, QFX and QIF, to Xero and to Tally.

Banks and layouts it reads

The reader does not depend on a list of supported banks. It finds the table by looking at the page: it locates the header row, works out where the amount columns are from the alignment of the numbers, and reads each transaction with its continuation lines. It handles statements with separate debit and credit columns, a single signed amount column, money in and money out columns, sections such as Deposits and Withdrawals, credit card statements with transaction and posting dates, and balances that carry CR or DR suffixes.

Dates are read in US, UK, Canadian and Australian styles, including statements that print only day and month and rely on the statement period for the year. Currency symbols, thousands separators, brackets for negatives and trailing minus signs are all understood. Statements from banks that print the newest transaction first are put into chronological order.

Privacy by design

The PDF is opened and parsed by your browser. The file is not uploaded to a server, and no transaction text is stored. What the server records is bookkeeping about usage: how many pages were converted, when, and a hash of the file so converting the same statement to a second format does not cost twice. Paid customers see a history of file names, page counts and dates in their dashboard, never statement contents.

Read the full privacy policy for the details, including AI assist: when our rules cannot read a statement, the extracted text lines (or, for a scanned PDF, the page images) are sent once to an AI service to be read, and are not stored.

Free, pay-per-pack or subscription

Everyone can convert 3 pages a day for free without creating an account. A page here means one page of the PDF, so a typical monthly statement of two to four pages costs two to four pages. If you need more, a 60-page pack is a one-time $9 purchase with no expiry. Bookkeepers who process statements every month can choose Pro at $19 a month for 400 pages or Business at $49 a month for 2,000 pages. See pricing for the details.

Frequently asked questions

Is it safe to convert a bank statement online?

The file is converted inside your browser, so the PDF is never uploaded to our servers. We only record usage counts. The only exception is AI assist: if our rules cannot read a file, its extracted text (never the PDF itself) is sent once to an AI service to be read, and nothing is stored.

Which bank statement formats can I download?

QBO for QuickBooks, Xero CSV, Excel (.xlsx), CSV, QuickBooks three-column CSV, OFX, QFX, QIF and Tally XML.

Does it work with scanned statements?

Text PDFs work best. If the PDF is only an image, the converter detects that and offers optional OCR that runs in your browser. OCR is slower and less accurate, so the balance check matters even more.

How do I know the conversion is correct?

The converter adds the opening balance and all transactions and compares the total with the closing balance. If the statement prints a running balance, every row is checked as well. Differences are shown and the affected rows are highlighted.

How many pages can I convert for free?

Three pages per day, with no account. Converting the same file to another format within 24 hours does not use more pages.

Does it work for credit card statements?

Yes. Credit card statements are detected, charges and payments get the right signs, and the QBO file uses the credit card account type that QuickBooks expects.
